ISO 9001Frequently asked questions

ISO 9001 frequently asked questions: 26 answers

Here you will find answers to the 26 most frequently asked questions about ISO 9001  certification. For example: what are the disadvantages, how long does it take, is it mandatory and can you certify quickly? The standard is available from NEN (Netherlands Standardization Institute) , and certification takes place through an accredited body . Missing an answer? Then read the requirements of the standard or the step-by-step guide.

General questions about ISO 9001

What is the difference between NEN-EN-ISO 9001 and ISO 9001?

In content there is no difference. They are the same standard, only with a different publication label:

In practice, everyone just says “ISO 9001”.

What is the difference between DIN EN ISO 9001 and NEN-EN-ISO 9001?

Nothing in content. It is exactly the same standard, only with a different country code at the front. DIN is the German standards body and NEN is the Dutch one. Both publish the European version (EN) of the international ISO standard.

LabelCountryPublisher
DIN EN ISO 9001GermanyDIN
NEN-EN-ISO 9001NetherlandsNEN
BS EN ISO 9001United KingdomBSI

If you work with a German client who asks for “DIN EN ISO 9001”, your Dutch certificate still meets the requirement. The requirements are the same.

Is ISO 9001 the same as a quality mark?

Not entirely. ISO 9001 is a management system standard. The certificate proves that you have a system to assure quality and that this system works. It does not directly say anything about the quality of your product or service itself.

It does mean that if your system works well, this usually leads to better products and services.

What are the disadvantages of ISO 9001?

ISO 9001 also has disadvantages. The main ones are listed below:

DisadvantageExplanation
CostsExpect €3,000 to €20,000+ in the first year, plus annual maintenance
TimeA process takes 2-12 months and requires 40-300 hours of internal time
AdministrationYou record more and keep more records
False sense of securityA certificate says something about your system, not automatically about your product
Risk of bureaucracyWith too much documentation, it becomes paperwork that nobody uses

You can solve most of these disadvantages by keeping the system lean. Read why a thick quality manual has not been necessary since 2015. Also see the costs and timeline for an honest picture.

How long is an ISO 9001 certificate valid?

Three years. But every year the auditor visits for a surveillance audit (check). After three years a recertification audit follows to extend the certificate.

Can my certificate be withdrawn?

Yes, if you:

  • No longer meet the requirements
  • Do not allow surveillance audits to take place
  • Repeatedly fail to resolve nonconformities
  • Commit fraud

This does not happen often, but it can.

Questions about ISO 9001 costs

What does ISO 9001 certification cost on average?

The total investment in the first year varies:

Company sizeTotal cost
Small (1-10)€3,000 - €6,000
SME (10-50)€6,000 - €12,000
Larger (50-100)€12,000 - €20,000
Large (100+)€20,000+

Read more about the cost breakdown.

Are there annual costs after certification?

Yes, expect:

  • Surveillance audit: €800 - €3,500 (depending on size)
  • System maintenance: internal hours
  • Internal audit: €400 - €1,500 (if you outsource it)

Can I get ISO 9001 without a consultant?

Yes, but it is not easy. You must:

  • Study the standard thoroughly
  • Set up your system yourself
  • Discover any mistakes yourself

For a first certification we recommend guidance. It saves time and prevents mistakes.

Questions about the ISO 9001 timeline

How long does ISO 9001 certification take?

Expect 2 to 12 months. The exact timeline depends on your starting position:

SituationTimeline
Small company, reasonably in order2-4 months
SME, average situation4-6 months
Larger company or starting from zero6-12 months

See the step-by-step guide for a detailed plan.

Can you get ISO 9001 quickly?

In theory, yes, but there is a lower limit. You must apply your system for a while before the auditor visits. Otherwise you have no evidence that it works.

Faster than 6-8 weeks is rarely realistic. If you still want to certify quickly, start with a gap analysis, reuse existing documents and keep your quality manual lean.

Is ISO 9001 mandatory? And what alternatives are there?

Is ISO 9001 legally required?

No, no law requires ISO 9001.

It is often demanded by:

  • Governments in public tenders
  • Large clients as a contract requirement
  • Sectors where it is the standard

Read when ISO 9001 is in practice required on the page is ISO 9001 mandatory?.

Are there alternatives to ISO 9001?

There are other quality standards and marks:

ISO 9001 is still the most widely recognised and requested standard.

What if a client requires ISO 9001 but I do not have it?

You have a few options:

  1. Get certified: Takes time and money, but is a permanent solution
  2. Prove that you comply: Some clients accept your own declaration with supporting evidence
  3. Work with a certified partner: For example, as a subcontractor
  4. Let the assignment go: Sometimes the only option

In public tenders, the contracting authority must accept equivalent alternatives. This is set out in the Aanbestedingswet (Dutch Public Procurement Act) . A good quality manual can sometimes serve as an alternative.

Questions about the ISO 9001 audit

What happens if I fail the audit?

You do not receive a certificate, but it is not the end of the world. You resolve the nonconformities and schedule a re-audit. Most companies that fail do pass in the end.

Read more about the audit process.

How many nonconformities are acceptable?

There is no fixed maximum. It depends on severity:

  • Minor nonconformities: You get 90 days to resolve them, after which the certificate is granted
  • Major nonconformities: Block certification, a re-audit is needed

One major nonconformity is enough to fail. Many minor nonconformities together can also lead to a delay.

Does the auditor also talk to employees?

Yes, that is standard. The auditor wants to know whether the system really works, and checks this by talking to different people. From management to the shop floor.

Prepare your employees, but do not instruct them to give “the right answer”. Honesty works better.

Questions about ISO 9001 documentation

Do I need a quality manual?

Not since ISO 9001:2015. The standard asks for “documented information”, but does not require this to be a manual.

You may choose how you document: manual, separate procedures, checklists, videos, software. As long as it is available and controlled. Read how to build a lean quality manual and which documents the standard does require.

How much do I need to document?

As little as possible, as much as necessary. The standard explicitly requires certain documents (such as the quality policy and objectives), but for the rest you decide what you need.

A common mistake is documenting too much. A system that nobody understands or uses is pointless. Keep it practical.

Do I have to buy software?

No, it is not required. Many small companies work with Word, Excel and a folder structure. That can work perfectly well.

For larger organisations, quality software can help with:

  • Document management
  • Recording nonconformities
  • Planning audits
  • Producing reports

Questions about ISO 9001 implementation

Do I have to do everything myself?

No. You can outsource parts:

  • Advice and guidance
  • Writing documentation
  • Internal audits
  • Training

You must still understand and apply the system yourself. A consultant can help, but it remains your system.

Who needs to be involved in the implementation?

At a minimum:

  • Management: Must show commitment and free up resources
  • Project leader: Someone who leads the process
  • Key people: People who know the processes

ISO 9001 only works if the organisation takes part. So involve employees early.

What if my processes are not in order?

Then ISO 9001 is especially useful. It forces you to look critically at your processes and improve them.

Start by describing how things work now. Only then look at where improvements are needed. Do not try to create an ideal picture that does not match practice.

Combining ISO 9001 with other standards

Can I combine ISO 9001 with other certifications?

Yes, this is even recommended if you want several certifications. Many organisations combine:

  • ISO 9001 (quality) with ISO 14001 (environment)
  • ISO 9001 with ISO 27001 (information security)
  • ISO 9001 with ISO 45001  (occupational health and safety)

All modern ISO standards share the same structure (High Level Structure ), which makes integration easier. Read more on the page combining with other certifications.

Does combining save money?

Often, yes. You can carry out combined audits, which saves audit days. You also overlap documentation and processes.

ISO 9001 updates and revision

When will the new version of ISO 9001 be released?

The current valid version is ISO 9001:2015. The revision is in its final phase: the final draft (FDIS) has been published, and ISO  expects to release ISO 9001:2026 around September 2026. Check the exact date with ISO  or NEN , because schedules can shift.

The new version gives more attention to sustainability, climate, digitalisation and quality culture. The core clauses 4 to 10 change only to a limited extent. Read the details on the page about the current status of ISO 9001.

What happens when a new version is released?

After publication, you are expected to have three years to transition. Your certification body will inform you about the transition. Until you transition, your ISO 9001:2015 certificate remains valid.
